What You Need to Know About Using the Exchange IG Hotline
The Office of the Inspector General (IG) serves the Director/CEO and Exchange leaders through four IG functions: assist, inspect, investigate and teach & train.
The IG hotline falls within the assistance function. It is a primary method of bringing matters to the attention of the chain of command; correcting problems of all types, including unfairness, at the lowest level; and identifying and eliminating conditions detrimental to the morale, efficiency or reputation of the organization.
We encourage complainants to use their supervisory chain first and complete actions at the lowest level. The IG often partners with general managers and region leadership while conducting investigations. We ask that any information submitted to our office be submitted with discretion. This will assist in maintaining integrity and credibility throughout an inquiry.
Who can submit a complaint to our office? Anyone who has had any interaction with the Exchange (i.e associates, contractors or customers in our stores via online or in person). There is no precondition for communicating with the IG. Again, it is encouraged that you use your supervisory chain first; however, it is not required prior to contacting our office. Any submissions to the IG are considered protected communication and may be submitted through one of the following means: by web to https://odin.aafes.com/Oig, by email to hotline@aafes.com or by phone to 1-800-527-6790, option 6, then option 3.
Providing the following information will enable the IG to best assist you.
- WHO committed the alleged wrongdoing?
- WHAT exactly did the individual or entity do that violated a law, regulation or policy? WHERE did the wrongdoing take place?
- WHEN did it happen?
- HOW was the wrongdoing committed?
- WHO else has knowledge of the alleged wrongdoing?
If you choose to remain anonymous and do not provide name, address and/or phone number, you will not receive a response from the IG regarding the outcome of an inquiry.
Will anyone know that I’ve contacted you? We cannot guarantee confidentiality since we do not know who all is involved in the matter. The fewer people involved, the easier it may be to determine who submitted a complaint. We will not disclose the identity of a complainant unless they consent to such disclosure, or the IG determines that such disclosure is otherwise unavoidable to conduct an inquiry.
