What to Expect When You Get Inspected: The IG Team is Coming to an Exchange Near You!
You’ve learned that the Office of Inspector General team is coming to inspect your store. Should you be nervous? Relax—inspections are a good thing for your team and for the Exchange.
The purpose of inspections is to assess, assist and enhance the ability of the organization to effectively prepare and perform its assigned mission. Inspections identify the root causes of problems, particularly those beyond the capability of leaders/managers to solve.
What should you expect when the Exchange Office of Inspector General visits you? Inspectors:
- Include a review of operations, processes and facilities. The examination assesses compliance with regulations, policies and Exchange operating procedures.
- Conduct anonymous surveys with associates and interviews with leadership to gain insights into facilities’ practices.
- Conduct a documentation review of records reports, and other paperwork to verify adherence to established standards virtually or in person.
- May also examine your location, equipment or workspaces to ensure they meet standards and safety requirements.
Following the inspection, you can expect feedback from the inspectors. This may include commendations for areas of excellence and recommendations for improvement. It’s an opportunity to gain valuable insights for enhancing operational effectiveness.
Inspections are also learning opportunities. Inspectors may provide guidance, share best practices or offer training recommendations to ensure ongoing compliance and improvement.
Expect clear and timely communication throughout the inspection. You will receive notice of the inspection, updates during the inspection, an out brief and a report summarizing the findings.
Remember that inspections are integral to maintaining high standards, fostering continuous improvement and ensuring the success and integrity of the organization. Approach them with a positive mindset, viewing them as opportunities for growth and refinement.
